REFUND/CANCELLATION POLICY: This policy will take effect upon receipt of payment for any party or event. Payments are refundable up to 14 days prior to your originally scheduled party/event date minus a $75 service/account maintenance charge. Since each booking is carefully scheduled around other bookings on any given date, and we can only accept one booking per time slot, it is nearly impossible to find a suitable replacement within 14 days of a date which, causes us significant loss to our income. Therefore, there are no refunds for parties/events canceled within 14 days of a scheduled party/event to offset the loss to our business. We will make every attempt to reschedule your party, up to 14 days in advance, so that you do not have to cancel but, for the same reason we cannot offer refunds within 14 days, we cannot authorize a party to reschedule within 14 days. By submitting a booking or a payment you confirm that you have read and agree with our refund policy.
USE OF VIRTUAL REALITY (VR): Customer understands that VR can only be used by ages 10 and up (no exceptions) and that it may cause Virtual Reality Sickness and/or seizures. You understand that Gamers MUST remain seated while using the VR headset and that the Headset may only be handled by an employee of Rolling Game Station. You also acknowledge and understand that there may not be enough time in a party to allow everyone a chance to use the VR. You agree to hold harmless Rolling Game Station from any issues regarding the use of Virtual Reality while in the trailer and agree to monitor the gamers after they use VR to ensure their safety. Any violation of our rules regarding VR will terminate it’s use at the party.
PARKING: The Rolling Game Station is very long, about the length of a small tractor trailer. We will need at least 55 feet of room to park in front of your location and we will ALWAYS park on the street where it is permitted. Backing into driveways and tight spaces can cause issues like, cracked pavement, should we get too close to the edge, and ruts in the yard, should we leave the hardened surface by accident. For liability reasons we only back in where it is required. For locations where we will be required to back in (because of parking laws or you are located on a major roadway and, in our opinion, on street parking is dangerous), Rolling Game Station/RA Meinhart LLC and it’s employees will not be held responsible for any damage. Additionally, employees will not park off of the hardened surface without prior approval from Roger Meinhart or his designee.
TRAVEL FEE- Rolling Game Station/RA Meinhart LLC will apply a travel fee for all parties or events over 45 minutes from the 19465 zip code. The rates are: 45-59 minutes- $50, 1 hour- 1hr 15 mins- $75. Bookings are not accepted over 1hr 15 mins of travel time. You can check your location by going to Google Maps or MapQuest and getting directions from your address to the 19465 zip code.
BAD WEATHER: Rolling Game Station’s trailer was designed for all types of weather conditions. The theater is insulated and climate controlled with heat and air conditioning. There may be occasions when the weather does not want to cooperate with your scheduled party. In the event of severe weather (lightning, very high winds, flooding and/or extremely heavy rains, snow or ice) we may (and reserve the right to) reschedule your service to guarantee the safety of you, your guests, our staff and equipment. If the threat of these storms threatens your party and you are aware in advance (pending or anticipated snow storm, tropical storm or hurricane) please contact us to begin the rescheduling. Road conditions play a big part in our service. As long as it is safe to drive our equipment we will be there. The decision on travel safety is made solely by Roger Meinhart or his designee. Roads and Driveways must be clear of snow and ice with plowed roads allowing us to park on the roadway while still allowing for the safe passage of traffic. Large snow falls will require the end of the driveway to be widened to allow our theater to access the driveway. Rolling Game Station does not cancel or reschedule parties or events due to rain. We operate RAIN OR SHINE!
SUPERVISED CHILDREN: Rolling Game Station does require a parent or responsible adult to be present inside or just outside of the trailer at all times. Guests 16 and over require a parent or guardian be on property and within contact of the game coach should a need to contact them arise. For children under 7 a parent or guardian must be present to assist them at all times. Our parties are designed and recommended for guests 7 and older. Please keep in mind that Game Coaches are not “babysitters” and are there to keep the party Rolling and provide assistance if it is needed with respect to the games and equipment. We believe that you will know your guests better and be able to monitor what they can and cannot do better than us!
You may serve alcohol at a Rolling Game Station event or party; however, we may require an on-site security surcharge and/or security deposit when alcohol is being served. We may and reserve the right to refuse, cancel or cut short any party or booking when alcohol is being served. Drugs of any sort will not be tolerated in or around the Rolling Game Station equipment. Any observed use of illegal narcotics or legal narcotics used in an illegal manner will result in the termination of the party immediately.
DAMAGE/INJURY: Rolling Game Station, R.A. Meinhart LLC or any of it’s employees will not be responsible for any damage to property resulting from a request by the client to position the theater in a specific location. This includes both above ground and below ground property/equipment damage. Additionally, Rolling Game Station reserves the right to charge the client’s credit card for damages to the trailer or equipment resulting from the careless or willful damage of same by clients guests. Rolling Game Station, R.A. Meinhart LLC or their employees assume no responsibility for any injuries sustained on the clients property or their designated location. All liability for damages or injuries are the sole responsibility of the client and/or host.
FOOD/DRINK: Rolling Game Station does not allow any food or drinks into the video game theater. Please have your guests consume them outside of the trailer prior to entering.
PICTURES: While your party is in effect the Game Coach will be taking pictures of the party from inside the trailer. You will then be able to view these pictures on Rolling Games Station’s Facebook Fan Page and copy them to your files. If you do not want our Game Coach taking these pictures or posting them on the Fan Page please notify us via Email prior to the party. This is a service we provide to our guests so they can be sure to capture their party as it happens.
INVITATIONS: We will mail all of your invitations to the address you provided as the billing address of your credit card. If you prefer to make other arrangements please contact us at 610.906.7299. Invitations will be mailed upon receipt of payment.
TIPS: The Game Coach is there to make sure that your group is making the most of our high-tech fun. He tutors, inspires and entertains. Tipping for good service is a great idea, but not required.
ROLLING GAME STATION TRUCK/TRAILER: When the truck pulls up, we will try to park in the most level & flat area or logical spot to accommodate your party. Sometimes, we park in your neighborhood street, so you might want to let your neighbors know (in case they may object) or let us know if you have a preferred spot for us. We might also have to block a driveway. **Please keep in mind that our Game Coach will not park anywhere that may cause a danger to persons, property or equipment. Our truck and trailer combination is very long and we will need a minimum of 55 feet of space to park. Additionally our Game Coach will never disconnect the truck from the trailer at a party/event without prior approval nor park off of a hardened surface.
VIDEO GAME RATINGS:
Rolling Game Station will not play any “M” rated or higher game in the video game theater without a request from the client prior to the party/event or adult approval at the time of the event. If you wish to have an “M” rated game or higher at your party/event please send an Email to email@example.com indicating the game you prefer or let the Game Coach know as soon as you can after he gets there. It is also recommended that all clients Email Rolling Game Station with their game requests.
One service that Rolling Game Station provides is photographs of the party in action from the inside of the Theater. If you prefer not to have pictures of the party posted on our Fan Page or web site please let us know.
